Spirit Art Mentor ("we", "us") provides online mentoring for the artistic development of Spirit Portraiture. This policy explains what personal information we hold, why we hold it, and the choices available to you.

Information we collect

  • Account information: your name (optional), email address and authentication details.
  • Artwork you upload, together with the date of upload and any title you give it.
  • The mentor reports generated from your artwork, including scores and written feedback.
  • Credit balance and a record of credits added or used.
  • Basic technical data required to operate and secure the service.

How we use it

We use your information to create your account, generate and store your mentor reports, show your development history, manage review credits, and communicate with you about your account. Your artwork is analysed to produce your mentoring feedback and is stored privately so you can revisit your reports.

Automated analysis

Mentor reports are produced with the assistance of automated image analysis working to a structured Spirit Portrait drawing framework. The analysis considers visible drawing technique only. It makes no assessment of mediumistic ability or of whether a Spirit communication is genuine.

Storage and security

Accounts, artwork and reports are held in secure, access-controlled cloud infrastructure. Uploaded images are stored in a private location and are only made viewable to you through short-lived, signed links. We never publish your artwork or share it with other students.

Sharing

We do not sell your personal information. We share it only with the service providers required to run the platform (hosting, database and storage, authentication, automated image analysis, and payment processing when you purchase credits), and where required by law.

Retention

We keep your drawings and reports for as long as your account remains open, because the purpose of the platform is to build a record of your development over time. You may ask us to delete individual drawings at any time, and you may close your account from your Profile page.

Closing your account

When you request closure, nothing is deleted straight away. Your account is paused for a cooling-off period of at least 7 days during which you can change your mind. After that period the request waits to be reviewed by Anne-Marie, and you may still cancel it at any point while it is waiting. Closure is never automatic on day 7. Once the irreversible closure process has begun, the request can no longer be cancelled.

Closure cannot be completed while there is an outstanding financial, payment, refund or service process that needs to be settled first — such as an open refund request, a purchase that has not been completed, credits being held to one side, or a report or Mentor Visual still being prepared.

When closure is completed, your account and your sign-in access are removed, and you will no longer be able to sign in.

Once closure is completed we permanently remove your portraits, Mentor Reports, revisions, Mentor Visuals, Mentor Audio, your Current Focus and your progress history, together with the underlying image and audio files. Any unused Mentor Credits are forfeited and closing your account does not create a new refund entitlement; complimentary credits have no cash value.

We must keep certain records as evidence of services already supplied and to meet our legal and accounting obligations: payment and refund history, the credit ledger, reward records and consent evidence. These are kept in a pseudonymised form that is no longer linked to a readable account, and we retain a keyed one-way fingerprint of your email address so that a single free Mentor Taster cannot be claimed twice. Our payment provider and our email provider keep their own independent records, which we cannot remove on their behalf.

Your rights

You may request access to, correction of, or deletion of your personal data, and you may object to certain processing. To exercise any right, contact us using the details on the site.

Children

Spirit Art Mentor is intended for users aged 16 and over.

Changes

We will update this page whenever this policy changes, and will revise the date shown above.
